Most small and mid-size contractors run their businesses on a collection of spreadsheets: a bid tracker, a project schedule, a change order log, a contact list, a daily report template. Each one works, more or less, in isolation. Together, they create a coordination tax that compounds with every project you add.
The Maintenance Problem
Every spreadsheet you maintain is infrastructure you have to manage. When a sub's contact information changes, you update it in four places. When a change order is approved, you update it in three. When a project schedule shifts, you update it in two and hope nothing falls through the cracks.
This isn't a software problem — it's a single source of truth problem. When information lives in multiple places, you have multiple versions of reality. The question is always which one is current.
The Collaboration Problem
Spreadsheets weren't built for collaboration. When two people work on the same spreadsheet simultaneously, one of them is working on stale data. When you email a spreadsheet to a subcontractor, you've created a version you can't control.

Across contractors who switched from spreadsheets to CMDBLD, the average time savings from reduced data entry and re-entry is 3.2 hours per week per user. At $65/hr average for office staff, that's $10,816 per user per year.
For a 5-person office team, that's $54,000 per year in labor cost — for tasks that produced no revenue and carried significant error risk.
The other cost is harder to quantify but more significant: errors. A miscopied number in a change order log. A schedule that wasn't updated. An RFI response that didn't make it back to the field. These errors don't show up on a time report — they show up in disputes, rework, and margin erosion.
When Spreadsheets Still Make Sense
Spreadsheets are excellent for: one-time analyses, quick calculations, personal reference documents. They're tools, and like any tool, they're right for some jobs.
They're wrong for: information that multiple people need to access and update, information that connects to other information, information that needs to flow automatically through a process.
Making the Transition
The contractors who struggle to move off spreadsheets usually try to replicate their spreadsheets in the new tool. That's the wrong approach. The power of a purpose-built platform is in the workflows and connections it provides — not in its ability to look like a spreadsheet.
Start with one process: daily reports, or RFIs, or change orders. Get your team comfortable with the platform on that one thing. Then expand.
Within 90 days, most teams can't imagine going back. The spreadsheets don't go away entirely — they just stop being load-bearing.
